We have added a new security feature to help protect your Email from phishing attacks. This feature is recommended by Microsoft and adds a small banner at the top of certain emails.

You may see messages that say: You don’t often get email from [Sender] . Learn why this is important

[External Email] Be careful opening links or attachments unless you recognize the sender and know the content is safe.

This message is completely normal and helps you stay safe online. Here’s what it means and why we’ve enabled it.

Why am I seeing this banner?

Microsoft shows this banner the first time you receive an email from a sender you have not interacted with before. This could include:

  • Someone outside your organization emailing you for the first time
  • A business or service you have not contacted before
  • A legitimate new contact
  • A potential phishing attempt

Phishing emails often impersonate familiar senders. This banner gives you a moment to check if the email is genuine.

Why we enabled this feature

Cybercriminals often target businesses by impersonating staff, suppliers or partners. Most phishing emails come from new or unusual senders. This banner helps by:

  • Highlighting unexpected senders
  • Reducing the chance of clicking on malicious links
  • Helping you identify potential risks
  • Strengthening email security across your organization.

The banner does not block emails. It is a prompt to be vigilant, not a warning that the message is dangerous.

What should I do when I see it?

When this banner appears, ask yourself:

  • Do you recognise the sender?
  • Were you expecting this email?
  • Does the content make sense?
  • Are there any unusual requests or attachments?
